1. Acceptance of Terms

By creating an account and using the OLHRS Resource System, you confirm that you have read, understood, and agree to be bound by these Terms & Conditions and any related policies that may be communicated by the system administrators.

2. Authorized Use

The system is intended solely for authorized personnel of the organization for legitimate work-related purposes, including but not limited to requesting, managing, and monitoring resources and maintenance activities.

  • You must only access and use information that is relevant to your role.
  • You are responsible for all activities performed under your account.
  • You must immediately report any suspected unauthorized access to the system administrator.

3. Account Security

You are responsible for maintaining the confidentiality of your login credentials (username, password, and any other authentication factors).

  • Do not share your account with other individuals.
  • Choose a strong password and update it if you believe it has been compromised.
  • The system may lock or disable accounts that are suspected of misuse or compromise.

4. Data Privacy

The system may collect and store personal information (such as your name, employee ID, contact details, and usage logs) for the purposes of account management, security, and system auditing.

  • Your data will be used only for legitimate institutional and operational purposes.
  • Access to your data is limited to authorized personnel with a valid work-related need.
  • You agree that system activities may be logged for security and auditing.

5. Prohibited Activities

You agree that you will not:

  • Use the system for any unlawful, fraudulent, or abusive purpose.
  • Attempt to bypass, disable, or tamper with security features.
  • Access, modify, or delete data that you are not explicitly authorized to handle.
  • Upload or distribute malicious code, spam, or any harmful content.

6. System Availability and Changes

The administrators may perform maintenance, updates, or improvements to the system which can temporarily affect availability.

  • The system is provided on a best-effort basis. There may be occasional downtime.
  • Features and functionality may be added, changed, or removed at any time.
  • These Terms & Conditions may be updated when necessary; continued use of the system after changes take effect constitutes your acceptance of the updated terms.

7. Misuse and Disciplinary Action

Any misuse of the system, violation of these Terms & Conditions, or unauthorized access to information may result in suspension or termination of your account and may be subject to appropriate disciplinary and/or legal action in accordance with institutional policies and applicable laws.
